Summary of Position

Under general direction of the Procurement Contract Management Director and/or other designated supervisor to support the efficient management of contracting for goods and services in accordance with University System policies and procedures. Working closely with the Procurement Services and General Counsel teams, the Procurement Contract Specialist will work to ensure consistent administrative handling of vendor contract. The Procurement Contract Specialist will provide superior customer service to internal and external customers throughout the contract lifecycle. The Procurement Contract Specialist will also provide reporting and analytical support to the contract management and related teams.

BS or BA from accredited university required.

A minimum of 3-5 years of paralegal experience (including managing, drafting, and negotiating contracts) at either a large firm or in-house legal department.

Exceptional organizational, proofreading, and written and verbal communication skills.

Detail-oriented, self-starter, with strong project management skills.

Excellent judgment and ability to manage multiple projects simultaneously.

Ability to work independently, effectively prioritize amongst competing objectives, and take initiative where appropriate.

Excellent communication and interpersonal skills while working collaboratively in a team environment with all levels of the company.

Duty/Responsibility

Contract Lifecycle:

Manage the administration of contracts by drafting, reviewing and negotiating basic legal agreements such as confidentiality, vendor, purchasing, employment, and other types of basic agreements with the ability to recognize key business issues.

Identify potential risks and/or take necessary steps to safeguard University exposure and interest.

Reviews contract requests, assigns contract numbers, prepares contracts, renewals or amendments based on templates as instructed.

Coordinates General Counsel Participation in contract management process, including receipt of vendor contract requests and renewal notices, answering basic contract information and pulling existing contracts.

Duty/Responsibility

Contract Management:

Facilitate and track the approval and execution process of all contracts.

Assist with and improve contracts management process and system, as well as implementation of contract policies.

Assists in developing databases, reminder tools, and other online applications related to the work of the Contract Management Team.

Duty/Responsibility

Operational Support:

Assist Procurement Services team teams in responding to information requests and audits from state and federal regulators.

Maintain a library of form documents, contract clauses, templates, and historical documents, and add or revise as needed.

Maintain necessary files/records as required.
