Duties / Responsibilities

Job Duties


Coordinate all aspects of the support function for full-time staff of three-four assigned major gift fundraisers. This position requires discretion and confidentiality at all times. Maintain complex schedules for assigned gift officers, including their calendars. Schedule all complex travel arrangement. Schedule department appointments and meetings through gift officer Outlook calendars. Schedule and confirm donor/prospect appointments as requested by development officer. Respond to donor/prospect inquiries as received within approved parameters. Work with Business Service Center regarding purchasing card processing; travel reimbursements and advances; tracking budget expenses. Manage time sheets for gift officers as requested. Assist gift officers with their prospect portfolios and any report requests. Work with the Development Research staff to process and obtain additional information about donors/prospects to assist gift officers.


Anticipate and prepare correspondence needs including letters, agendas, meeting reports and proposals. Responsible for completeness of filing of proposals and gift agreements as requested by development officer. Maintain contact information in the Advancement database. Manage filing system (electronic and/or paper) as needed.


Participate and/or act as event lead in event planning/coordination including coordination of guest list, invitation creation/distribution via email and/or print, arranging catering, maintaining RSVP list, on-site registration and post-event recording of attendees, coordinating nametags and any additional materials. Assist with event and executive briefing process as needed.


Work with development databases to include generating and modifying reports for use with dean’s thank you letters, pledge thank you letters, event guest lists, giving reports, and requests for donor information received from dean’s office. Run or request ad-hoc reports as requested by gift officers.
